Terms and Conditions

Clear expectations help everyone have a smoother travel experience. This page outlines important information about planning, payments, responsibilities, and how travel services are delivered.

You’ll also see occasional “Why this matters” notes—these are simply here to explain how certain policies affect your travel experience.

Important terms and conditions

Harbor Close Travel — A Member of Envoyage

By booking travel with Harbor Close Travel, you acknowledge that you have read, understand, and agree to the following Terms and Conditions.

Traveler Responsibility and Required Travel Documents

Travelers are solely responsible for ensuring they possess all required travel documents and credentials, including but not limited to valid passports, visas, immigration status, government-issued photo identification, and any destination-specific entry or transit requirements.

Passports must be valid for at least six (6) months beyond the traveler’s return date, unless otherwise specified by the destination country.

Harbor Close Travel is not responsible for denied boarding, refused entry, or travel interruption due to insufficient, expired, or incorrect documentation.

Accuracy of Traveler Information

Travelers are responsible for providing accurate and complete information, including full legal names exactly as they appear on passports, dates of birth, and contact details.

Harbor Close Travel is not responsible for errors or penalties resulting from incorrect or incomplete information provided by the traveler, including name mismatches that may result in denied boarding or additional costs.

Hotel Accommodations and Room Assignments

Hotel rooms are assigned at the time of check-in based on availability and are fully controlled by the hotel. Specific room locations, views, floor levels, or configurations cannot be guaranteed unless explicitly stated on your confirmed itinerary.

Bedding arrangements are determined by the hotel based on the number of travelers and available inventory. Only when a specific bedding configuration is clearly listed on your itinerary can Harbor Close Travel advocate on your behalf with the hotel.

Travelers are encouraged to contact the hotel directly with questions regarding room layouts, amenities, or special requests.

Images used in marketing or promotional materials are representative only and may not reflect the exact room assigned.

Air Travel, Missed Flights, and Ticket Validity

If there is any change to your travel plans that may cause you to miss a scheduled flight, you must contact the airline directly prior to the scheduled boarding time.

Failure to do so may result in automatic cancellation of the ticket, loss of remaining flight segments, and voiding of return flights, even if you reach the destination independently.

Cancellations or changes must be made prior to flight boarding in order to preserve eligibility for future airline credits, if permitted under the airline’s fare rules. Harbor Close Travel cannot reinstate voided tickets.

Pricing, Payments, and Automatic Cancellation

All prices are subject to change until fully booked and paid.

Any booking not paid in full by 3:00 PM (local time) on the final payment due date will automatically cancel. No refunds will be issued unless permitted by the vendor or supplier’s terms and conditions.

Cancellations, Changes, and Refunds

Cancellation penalties, change fees, and refund eligibility are determined solely by the airline, hotel, cruise line, tour operator, or other supplier.

Refund timelines are controlled by suppliers and may take several weeks or longer to process. Harbor Close Travel does not control refund approval or timing.

Role of Travel Agent and Limitation of Liability

Harbor Close Travel acts as an advisor and advocate in planning travel but does not own, operate, or control airlines, hotels, cruise lines, tour operators, transportation providers, or other third-party suppliers.

By accepting travel arranged through Harbor Close Travel, you agree that Harbor Close Travel, its affiliated agents, and employees are not responsible for acts, errors, or omissions of third-party suppliers, including mechanical failures, delays, cancellations, overbookings, acts of God, weather events, labor disputes, governmental actions, or any resulting loss, damage, injury, or inconvenience.

Any claims related to supplier services must be pursued directly with the vendor.

Force Majeure — Events Beyond Our Control

Harbor Close Travel is not responsible for disruptions caused by events beyond our control, including but not limited to natural disasters, severe weather, pandemics, public health emergencies, war, terrorism, civil unrest, strikes, government restrictions, or border closures.

Such events may result in delays, itinerary changes, or cancellations without refund.

Health, Medical, and Fitness-to-Travel Disclaimer

Travelers are responsible for determining their own medical and physical fitness for travel and for consulting appropriate medical professionals if necessary.

Harbor Close Travel is not responsible for illness, injury, or medical conditions that arise before or during travel, nor for differences in medical standards or availability of care in destination countries.

Travel Protection and Insurance Recommendation

Travel protection is strongly recommended for all travelers. Coverage may include trip cancellation, trip interruption, medical emergencies, evacuation, and supplier insolvency.

If travel protection has not been confirmed as part of your itinerary, please request a quote. If we are unable to provide one, we are happy to recommend reputable providers.

Without travel protection, travelers remain 100% financially responsible for all non-refundable or penalty-based costs resulting from emergencies or unforeseen circumstances.

Airport Arrival Recommendations

Travelers are advised to follow airline and TSA arrival recommendations.

  • Domestic flights: arrive at least 2 hours prior to departure.
  • International flights, including Caribbean travel: arrive at least 3 hours prior to departure.

Failure to arrive within recommended timeframes may result in missed flights and forfeited tickets.

Cruise Travel Advisory

Cruise travelers are strongly encouraged to arrive at the cruise embarkation city at least one day prior to embarkation to allow for potential travel delays or cancellations.

Harbor Close Travel is happy to assist with pre-cruise hotel and transportation arrangements.

Supplier Insolvency or Bankruptcy

Harbor Close Travel is not responsible for financial loss resulting from the bankruptcy, insolvency, or cessation of operations of any airline, cruise line, hotel, or supplier.

Travel protection is recommended to help mitigate this risk.

Credit Card Chargebacks

By booking with Harbor Close Travel, you agree not to initiate chargebacks for services properly rendered. Any disputes should first be addressed directly with Harbor Close Travel or the applicable supplier.

Destination Laws, Customs, and Personal Conduct

Travelers are responsible for complying with local laws, customs, and regulations at all destinations. Harbor Close Travel is not responsible for consequences arising from a traveler’s conduct or legal violations while traveling.

Governing Law

These Terms and Conditions shall be governed by the laws of the state in which Harbor Close Travel operates, without regard to conflict-of-law principles.
